1. Who we are
This site is operated by Katerina The Coach LLC, a Kentucky limited liability company, 3501 Flat Stone Ct, Bowling Green, KY 42104, United States (the data controller, "we", "us"). For any privacy question or request, contact privacy@katerybina.com.
2. Scope
This policy covers personal information processed through katerybina.com, our intake and booking flows, and the one-to-one advisory engagement that follows. It applies to visitors and clients located in the United States, the United Kingdom, and the European Economic Area.
3. Information we collect
- You submit: name, email, phone (optional), role, company, and message, collected through our GoHighLevel-powered intake forms.
- Booking: name, email, and meeting time, via our scheduling tool.
- Engagement data: notes, documents, and correspondence you share with us during the advisory engagement, stored in Google Workspace.
- Payment data: processed by Stripe. We receive transaction confirmation and the last four digits of the card; we never see full card numbers.
- Marketing: if you opt in, your email address is stored with our email marketing provider.
- Automatic: IP address, browser type, pages viewed, and referrer, collected by hosting logs and, only with your consent, by Google Analytics 4.
4. How we use your information
- To respond to inquiries and schedule conversations.
- To deliver the advisory engagement you have purchased.
- To issue invoices and keep required financial records.
- To send marketing emails only where you have opted in.
- To maintain the security and performance of the site.
5. Legal bases (UK and EU visitors)
We rely on the following lawful bases under the UK GDPR and EU GDPR:
- Consent for marketing emails and non-essential analytics cookies.
- Contract for delivering the advisory engagement and processing payments.
- Legitimate interest for responding to inquiries, securing the site, and understanding how it is used.
- Legal obligation for retaining financial and tax records.
6. Who we share information with
We do not sell or rent personal information. We share data with the following processors strictly for the purposes listed:
- GoHighLevel, customer relationship and form intake.
- Calendly, scheduling.
- Google Workspace, email and document storage.
- Stripe, payment processing.
- Our email marketing provider, opt-in newsletters.
- Google Analytics 4, aggregate site analytics (only with consent).
- Lovable, website hosting.
We may also disclose information when required by law or to protect our legal rights.
7. International transfers
We are based in the United States, and your information is processed there. For visitors in the United Kingdom and European Economic Area, transfers rely on the Standard Contractual Clauses offered by our processors and, where applicable, the EU-US Data Privacy Framework (to which Google, Stripe, and other major providers are certified).
We rely on the Article 27 exemption for occasional, low-risk processing and have not appointed a UK or EU representative. If our processing changes materially, we will revisit this.
8. How long we keep your information
- Client engagement and billing records: 7 years, to meet US tax and accounting requirements.
- Inquiry-only contacts who do not become clients: deleted after 24 months of inactivity.
- Marketing list: until you unsubscribe.
- Analytics data: 14 months (Google Analytics default).
9. Your rights
If you are in the UK or EU, you have the right to access, correct, delete, restrict, or port your personal data, object to processing, withdraw consent at any time, and lodge a complaint with your local supervisory authority.
If you are a California resident, you have the right to know what we collect, request deletion or correction, opt out of any sale or sharing of personal information (we do not sell or share for cross-context behavioral advertising), limit use of sensitive personal information, and not be discriminated against for exercising these rights.
To exercise any of these rights, email privacy@katerybina.com. We respond within 30 days for UK and EU requests and within 45 days for California requests.
10. Cookies
Essential cookies (including the cookie that remembers your consent choice) are always on. Analytics cookies load only after you accept them on the consent banner. You can change your choice at any time by clearing site data in your browser.
11. Children
This site is not directed at children under 16, and we do not knowingly collect their personal information.
12. Security
We use TLS in transit, access controls, and processor due diligence to protect your information. No system can be guaranteed perfectly secure.
13. Changes to this policy
When we update this policy, we change the date at the top. For material changes, we notify active clients by email.
